The Challenge
The organization faced significant challenges due to its large ECC database, which was growing rapidly. This growth led to increased costs related to licensing and hardware.
Additionally, there were issues with GDPR compliance, which presented serious legal risks. Microsoft needed to review its retention management policies for compliance. With an imminent move to SAP S/4HANA, it was essential to prepare the database for migration, which involved reducing the database size to achieve cost savings in both the migration process and the subsequent operation on the new S/4HANA platform.

The Solution
Microsoft partnered with Auritas to implement a comprehensive data archiving strategy. This strategy began with a thorough database assessment to identify which objects could be archived, thereby significantly reducing the size of the database. By archiving less frequently accessed data, the organization could lower licensing and hardware costs associated with maintaining a large and continually expanding database.
In tandem with this archiving strategy, the organization launched a robust retention policy designed to comply with privacy regulations, including GDPR. This policy ensured that data was retained only as long as necessary, mitigating legal risks and aligning with stringent regulatory requirements.
To further bolster the effectiveness of the data management approach, the organization implemented OpenText Document Access/Extended ECM. This solution enhanced the performance of data handling operations, including the search, access, and retrieval of archived data. With improved document management capabilities, the organization achieved faster response times and greater efficiency in accessing necessary information.
