JOB OVERVIEW
The Auritas Administrative Assistant provides essential support to ensure the smooth day-to-day operations of the back office, leadership team, and staff. This role is responsible for managing schedules, assisting employees, answering the main phone line, and supporting Human Resources and leadership with time-sensitive and confidential information.
The Administrative Assistant also performs administrative tasks such as filing, data entry, correspondence, and document organization to maintain efficient workflows. This is a developing role, and responsibilities may evolve over time. Additional duties may be assigned as needed.
RESPONSIBILITIES & DUTIES
ASSETS MANAGEMENT
- Process claims under laptop warranties
- Monitor and extend laptop warranties as applicable
- Issue and collect company assets from active and inactive employees
- Maintain up-to-date asset records and documentation
- Track and report assets requiring collection or recycling
- Coordinate with IT to reset devices to factory settings prior to recycling
- Manage hardware inventory and create/maintain asset forms
- Assist IT with laptop setup, configuration, and software updates
ADMINISTRATIVE & MISCELLANEOUS SUPPORT
- Maintain and update the company directory
- Create internal communications (e.g., holiday and anniversary emails)
- Provide general administrative support to office staff and leadership
- Manage office supply inventory, purchasing, and order pickups
- Support HR, Operations, and Leadership with administrative needs
- Handle confidential and sensitive information with the highest level of discretion
- Assist with event planning, including coordination and vendor communication
- Utilize tools such as Canva to create documents, presentations, and event materials
- Demonstrate strong organizational control over assigned tasks and responsibilities
- Adapt quickly to changing priorities and meet deadlines effectively

EDUCATION & EXPERIENCE
- High school diploma or equivalent required; additional office administration training or certification preferred
- 1–2 years of experience in administrative support or office management
- Equivalent combinations of education and experience will be considered
