CoPA's Journey to Streamlined Content Management
The Commonwealth of Pennsylvania partnered with Auritas to streamline its SAP system and content management. In just over a year, they consolidated content within SAP, reduced database size, retired outdated applications, and simplified network architecture, boosting efficiency, user functionality, and alignment with statewide operational goals.

-
Content management
Centralized content management platform integrated with primary DB.
-
Data validation
Eradicated data issues with a selected number of applications.
The Challenge
Operating on the SAP system alongside a third-party content management solution, the Commonwealth of Pennsylvania faced complexities arising from a non-standardized environment and high data pollution. In its pursuit of standardization, the Commonwealth sought to streamline operations by consolidating all content management activities within the SAP ecosystem. It aimed to seamlessly integrate and manage its extensive data footprint.
Moreover, the Commonwealth identified inefficiencies in hardware management, prompting a desire to optimize their resources effectively. Their overarching goal was to consolidate content management functionality into a unified platform, ensuring that the transition would not result in any loss of critical functionality. This strategic approach aimed to enhance overall system coherence and efficiency.
The Solution
In a strategic collaboration, the Commonwealth of Pennsylvania joined forces with Auritas to revolutionize its data management approach, particularly addressing challenges related to data pollution and system complexity. Together, they implemented a robust data volume management strategy, leveraging Auritas' proprietary tools to effectively introduce archiving objects.
This initiative played a pivotal role in significantly reducing the overall footprint and intricacies of the environment. The data volume management strategy was meticulously crafted, considering retention management requirements for compliance, ensuring an optimal size reduction without compromising data integrity.
Additionally, a comprehensive legacy decommissioning strategy was devised to retire the existing third-party content management system, seamlessly migrating its content into an SAP-certified content management solution. This dual-pronged approach not only streamlined content management but also contributed to more efficient use of hardware resources, aligning with the Commonwealth's overarching goal of enhancing operational effectiveness and standardizing their SAP ecosystem.

Results & Benefits
The project was a resounding success. The entire landscape was transformed within 13 months, bringing immense results to the company’s data management strategy and end-user functionality.
