The Challenge
As the almost century-old SaskPower continued to grow with time, it faced several pain points related to its SAP database. Primarily, the lack of data volume management strategies in place emerged as a growing challenge as the company was facing increasing storage and hardware costs. SaskPower's team also struggled to find a way to keep their data accessible while archiving it with ease.
In addition, the lack of retention compliance was bringing legal risks. To address these issues, SaskPower recognized the need for a scalable, compliant data management solution that could reduce costs, ensure accessibility, and mitigate legal exposure.
Pain Points:
• Uncontrolled SAP database size and growth
• No SAP data strategy in place
• Lack of archiving capabilities internally
• No retention compliant in SAP and has legal risk
The Solution
After publishing an RFP, Auritas was selected to implement a comprehensive data management solution for SaskPower. Working closely with company leadership, Auritas developed a strategic plan that addressed key objectives while aligning with SaskPower’s long-term goals. The action plan included several core components: assessment, strategy workshops, data archiving, retention management, and knowledge transfer.
Key activities included an in-depth assessment of requirements and available solution paths, workshops to establish a tailored Data Volume Management (DVM) strategy, archiving of the 20 most impactful SAP objects, positioning the organization for effective retention management, and post go-live support through AuriCare—Auritas’ Application Management Services (AMS) program.
The project was executed in two phases. The first phase focused on preparation and strategic planning, while the second phase centered on the implementation of these strategies across the organization to ensure long-term success:
PHASE 1: ARCHIVING BLUEPRINT
• Database analysis
• Workshop to create roadmap for success
• Create assessment blueprint
• Finalize overall DVM strategy
• Benefits and reasoning behind choices: Milestones and timelines, integration requirements, retention and destruction requirements and knowledge transfer plan
PHASE 2: IMPLEMENTATION
• Implemented top 20 objectives in SAP ECC and CRM
- IS-U
- FI/CO
- Bases
• Set-up ongoing archive automation
• Positioned for future retention management in SAP
